Open InvoiceEase, pick a layout, and your next bill is minutes away. Start by connecting your accounting app and payment processor, then import contacts from CSV or your CRM. Create client profiles with terms, currency, and tax settings, and save your logo, colors, and footer notes once so every document matches your brand. Build an item library with SKU, unit price, and tax class to reduce repetitive typing. Invite teammates, assign roles (creator, reviewer, approver), and define who can send, edit, or refund. With these basics in place, you can produce accurate bills without touching a spreadsheet.

To issue a new invoice, click New, choose a client, and pull line items from tracked time or approved expenses. Use variables like project name, PO number, or service period to auto-fill headers. Add discounts, shipping, and multiple taxes; switch currency per client; attach statements or photos for proof. Preview on desktop and mobile, then send by email or share a secure link. Enable card, ACH, or wallet payments with one toggle, and set deposits or milestone schedules. If work repeats, schedule recurring bills or retainer drawdowns with automatic numbering.

Collection takes care of itself once you set a reminder sequence. Choose when reminders go out, what they say, and whether to add late fees after a grace period. Clients get a portal to view, download, and pay; they can split payments, leave notes, and request adjustments. You can approve changes, issue credit notes, or refund directly, with every action recorded on a timeline. Drafts route through internal review before sending, and mentions keep finance and account managers aligned without email back-and-forth. Batch-send end-of-month invoices in one run and print PDFs for clients who require physical records.

Use the dashboard to watch aged receivables, expected cash this week, and taxes collected by jurisdiction. Export CSVs or sync bi-directionally with QuickBooks or Xero; map accounts once and InvoiceEase remembers. Bank feeds reconcile automatically as payments clear from Stripe, PayPal, or your gateway. Security is built in: role-based access, two-factor authentication, encryption at rest and in transit, and a full audit trail. On mobile, scan a receipt and it becomes a line item; draft invoices offline and send when back online. Developers can hit the API or subscribe to webhooks to create, update, and mark invoices paid from internal tools or CI pipelines.
