Once mailboxes are connected, new billing messages flow into a single workspace without you digging through folders. The system detects vendor emails and attachments, brings them in, reads the details like supplier name, dates, amounts, taxes, and currency, and applies your coding rules. Fresh items land in a review queue so nothing is missed.

When a supplier only posts bills on its website, open the portal and use the Chrome extension to pull the files into the same queue. Employees on the move can snap a photo of a paper receipt and send it via WhatsApp or Telegram; the image is converted to structured data and linked to the tag or project you choose.

Each morning, a bookkeeper opens the queue, confirms the captured fields, fixes anything that needs attention, and applies coding. Rules can prefill categories, departments, or tax codes based on vendor, sender address, or common phrases. When entries look right, export them. The bill and structured values arrive in QuickBooks, Xero, or Business Central, and copies can also sync to Google Drive or Sheets for sharing and backups.

At month-end, use the reconciliation view to speed up the close. Bank transactions are matched to recorded bills by amount, date, and currency. The view flags charges without paperwork so you can request a receipt or fetch it from the original source.
