Start by building the place your team actually works. In Docmost, create Spaces for engineering, product, support, or any project, then map roles so each person sees exactly what they need. Set page trees for specs, runbooks, and policies, and seed them with templates so contributors follow a consistent outline. Import existing docs from other tools, or paste Markdown and keep the structure. Use page-level rules to keep sensitive content private while opening general knowledge to everyone. When you are ready to publish a Space externally—like a customer-facing help center—enable public sharing and add a custom domain and branding.

Writing is fast and predictable. Open the editor, press slash to insert headings, tables, callouts, images, code blocks, diagrams, and embeds. Draft privately, request review, and mention teammates for feedback. See edits live with multi-cursor presence, resolve comments, and mark sections as suggested changes before merging. Lock critical pages, and schedule updates to go live with release dates. Set default templates for PRDs, incident postmortems, onboarding checklists, and SOPs so every new page starts with the right structure. When a doc spans teams, cross-link pages across Spaces and keep backlinks to avoid dead ends.

For developer documentation, treat a Space as your internal handbook or public dev portal. Organize API guides and references with a clear hierarchy, add language-highlighted snippets, and use Mermaid for sequence or architecture diagrams. Track changes with version history, compare revisions, and restore with one click when needed. Pin a changelog page that aggregates recent updates, and filter search by Space, author, or tag to surface exact answers quickly. Share links with optional passwords and expirations when collaborating with partners. Use groups to grant reviewers temporary access, then revoke when the project wraps.

Operations and security stay straightforward. Deploy on your own infrastructure with Docker Compose, PostgreSQL, and object storage; schedule backups and configure email and file storage. Map SSO groups (Enterprise) to Docmost roles for clean onboarding and offboarding, enforce access policies, and export audit logs for compliance. Customize themes and logos, add a footer with legal links, and define a retention policy for drafts and archives. Docmost is open-source under the AGPL v3, so you can extend it and contribute upgrades. Need more? The Enterprise Edition layers in features like SSO and advanced permissions, analytics, and deeper audit controls, while keeping the same editor and workflows your team already uses.
