Start by dropping documents from your laptop or connect Dropbox, Google Drive, or Box to pull in folders you already organize there. For each file, pick who can get in: leave it open for anyone with the link or restrict it to named recipients. Block or allow forwarding in a single toggle, then send. If a mistake slips through—a typo in a contract, the wrong attachment, or the wrong person on the thread—pull access back immediately so the file stops opening for everyone you didn’t intend.

After delivery, switch to monitoring. A live activity summary shows which recipients opened the file, how many times, from where, and how long they stayed. You’ll also see whether someone printed or downloaded. Use these signals to plan your next move: follow up with viewers who spent time on the pricing page, nudge quiet stakeholders, or escalate when a key contact hasn’t looked at the deck. Because the analytics are tied to each file, you can compare engagement across documents and keep a verifiable trail for audits and internal reviews.

For multi-document work—fundraising, M&A, vendor selection, client onboarding—create a dedicated data room. Upload batches from your computer or cloud drives, organize them by stage, and invite participants. Assign coordinators to manage membership and set granular permissions for each room so viewers, contributors, and approvers see only what they should. As projects evolve, update files without changing the access rules, and keep using the same share link while you watch interest levels rise or drop by room and by document. When the deal closes or the review ends, lock the room or remove individuals in a click to end access everywhere at once.
